Privacy Policy

This Policy is written to describe categories of tools and providers so it remains accurate if TKRL changes vendors, while still explaining what information may be processed and why.

1. Who We Are

The Karmic Recode Lab LLC is a Georgia limited liability company based in Atlanta, Georgia, United States. In this Privacy Policy, "The Karmic Recode Lab," "TKRL," "we," "us," and "our" refer to The Karmic Recode Lab LLC.

This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit our website, submit a form or application, request a resource, join an email list, schedule a call, communicate with us, participate in a session, or otherwise interact with TKRL.

Where the GDPR, UK GDPR, or a comparable privacy law applies, The Karmic Recode Lab LLC acts as the controller or responsible organization for the personal information described in this Policy, unless a different role is expressly stated. Third-party providers that process information on TKRL’s instructions may act as processors or service providers, while some providers may act as independent controllers for portions of their services.

2. Scope

This Policy applies to personal information processed by TKRL through the website and related business activities. It does not control the independent privacy practices of third-party websites, platforms, applications, or service providers that you choose to use.

3. Personal Information We May Collect

Depending on how you interact with TKRL, we may collect the following categories of information:

  1. Identity and contact information, such as your name, email address, telephone number, country, time zone, and, when reasonably needed, mailing or billing information.

  2. Inquiry, application, and intake information, such as your goals, questions, current crossroads, relationships, money concerns, work and identity, spiritual interests, timing questions, expectations, and information used to evaluate fit and scope.

  3. Astrology and birth information, such as date of birth, exact or approximate birth time, birthplace, source or reliability of the birth time, and current location when relevant to astrology-informed work.

  4. Client-service information, such as agreements, consents, scheduling details, attendance, session notes, reflections, assignments, reports, deliverables, and communications.

  5. Transaction and billing information, such as invoices, payment amount, currency, payment status, refund status, and transaction identifiers. Payment processors generally collect and process full card or bank details directly; TKRL does not intend to store full payment-card numbers.

  6. Email and marketing information, such as subscription status, consent records, communication preferences, and, depending on the provider used, delivery, open, and click information.

  7. Website and technical information, such as Internet Protocol address, device type, browser, operating system, pages viewed, referring page, approximate location derived from IP address, timestamps, cookies, and similar technology data.

  8. Content you choose to provide through contact forms, surveys, guest inquiries, resource requests, emails, or other communications.

  9. When information is necessary to evaluate an application, enter or perform a client agreement, process payment, or deliver a requested service, failure to provide it may prevent TKRL from completing that request. Information identified as optional does not need to be provided.

4. Sensitive and Unnecessary Information

Some information voluntarily shared in spiritual life-realignment work may be personal or sensitive, including relationship history, spiritual or philosophical beliefs, family context, financial concerns, emotional experiences, or birth data. We ask that you provide only information reasonably necessary for the request or agreed service.

TKRL does not request Social Security or similar numbers from other countries, passwords, complete financial-account information, medical records, therapy records, tax returns, or investment statements through general website forms. Do not submit emergency information through the website or email.

If you disclose information about another person, you represent that you have a lawful basis and appropriate permission to do so. Avoid providing unnecessary private details about spouses, children, relatives, coworkers, or other third parties.

Information voluntarily shared with TKRL may reveal religious or philosophical beliefs, health or emotional information, sex life or sexual orientation, or other information treated as sensitive or specially protected under applicable law. TKRL does not require you to provide such information unless it is reasonably necessary for an agreed purpose. Where applicable law requires explicit consent, TKRL will request that consent separately before using such information, including through an AI-assisted tool. You may withdraw consent for future processing, although withdrawal may limit TKRL’s ability to provide the affected optional feature or portion of a service.

5. How We Collect Information

We may collect information:

  • directly from you when you visit, contact us, apply, subscribe, schedule, pay, sign an agreement, participate in a session, or request a resource;

  • automatically through the website, cookies, analytics, security logs, and similar technologies; and

  • from service providers or platforms you use to interact with TKRL, such as scheduling, payment, email, video, form, social-media, podcast, or document-signing providers.

6. How We Use Personal Information

We may use personal information to:

  • operate, maintain, secure, troubleshoot, and improve the website and business;

  • respond to inquiries and communicate about requests;

  • evaluate applications, fit, scope, readiness, and availability;

  • schedule and administer clarity calls and private services;

  • prepare for and deliver agreed spiritual coaching, self-inquiry, astrology-informed reflection, reports, resources, and related support;

  • create astrology charts or related reflective materials when requested and consented to;

  • prepare agreements, invoices, payment records, receipts, and business records;

  • deliver requested Free Library resources and, where you have consented or applicable law otherwise permits, send newsletters or marketing communications;

  • measure website and content performance, understand how visitors use the site, and improve user experience;

  • protect rights, safety, security, systems, intellectual property, clients, users, and service providers;

  • prevent or investigate fraud, misuse, unlawful conduct, or security incidents; and

  • comply with legal, tax, accounting, regulatory, contractual, and recordkeeping obligations.

7. Legal Bases for Processing

Where applicable privacy law requires a legal basis, we rely on one or more of the following:

  • Contract or pre-contract steps: to respond to an application or request, enter into an agreement, schedule services, process payment, and deliver services.

  • Consent: for optional marketing, certain cookies, session recordings, testimonials, media use, astrology birth-data processing where consent is appropriate, or other activities for which we ask permission. You may withdraw consent prospectively, subject to legal and contractual limits.

  • Legitimate interests: to operate and improve TKRL, communicate with users and clients, protect systems and rights, maintain appropriate records, and understand website use, where those interests are not overridden by your rights.

  • Legal obligations: to comply with applicable law, lawful requests, tax, accounting, fraud-prevention, dispute, and recordkeeping requirements.

8. How We Share Personal Information

We do not sell personal information, exchange it for money, or use sensitive application or birth data for advertising. We do not share personal information for cross-context behavioral advertising.

We may disclose information only as reasonably necessary to the following categories of recipients:

  1. website hosting, form, content-management, and technical-support providers;

  2. scheduling, calendar, reminder, video-conferencing, and communication providers;

  3. email, customer-relationship, newsletter, and resource-delivery providers;

  4. payment, invoicing, banking, and transaction-processing providers;

  5. cloud-storage, document, electronic-signature, backup, and security providers;

  6. analytics and website-performance providers, subject to applicable consent requirements;

  7. accountants, attorneys, insurers, consultants, and other professional advisers bound by appropriate duties;

  8. government authorities, regulators, courts, law enforcement, or other parties when disclosure is required or reasonably necessary to comply with law, protect rights or safety, investigate wrongdoing, or respond to legal process; and

  9. a successor or potential successor in connection with a merger, financing, reorganization, sale, or transfer of all or part of TKRL, subject to appropriate confidentiality and legal safeguards.

Service providers may process information in countries other than your own and are governed by their own contracts, privacy terms, security practices, and legal obligations.

8A. Artificial Intelligence and Technology-Assisted Processing

TKRL may use artificial intelligence, machine-learning, automation, transcription, and other technology-assisted tools to support website operations, administration, research, content organization, drafting, editing, summarization, translation, report preparation, pattern analysis, application administration, and aspects of client-service preparation or delivery.

Depending on the interaction, service, and applicable authorization, information processed through these tools may include contact information, inquiry or application responses, communications, astrology birth data, client-provided materials, limited session notes, and other information reasonably necessary for the stated purpose. TKRL seeks to limit the information used, remove direct identifiers where practical, and avoid submitting information that is unnecessary for the task.

AI and technology providers may process information as service providers under their own contracts, security practices, retention rules, and legal obligations. TKRL does not intentionally submit identifiable sensitive client information to publicly accessible consumer AI tools that permit prompt content to be used for general model training. Where reasonably available, TKRL uses business-grade accounts, contractual controls, or settings designed to restrict provider use of submitted business content for general model training.

TKRL does not use AI-assisted processing to sell personal information, conduct cross-context behavioral advertising, make solely automated decisions with legal or similarly significant effects, diagnose a condition, or replace human judgment. Substantive client-facing materials are subject to human review.

TKRL does not rely on one blanket consent for every form of any tool assisted processing. Depending on the purpose and applicable law, processing may be necessary to take requested steps before entering a contract, perform a client agreement, pursue legitimate business interests that are not overridden by your rights, comply with legal obligations, or carry out an activity for which you have provided consent. Where explicit or separate consent is required, including for certain sensitive or special-category information, optional AI features, recordings, or transcription, TKRL will request that consent before the relevant processing begins.

Session recording, automated transcription, and processing of audio or video are not authorized by general website use or by this Policy alone. TKRL will provide separate advance notice and obtain separate consent before recording or transcribing a private session.

9. Payments

Payments may be handled by third-party payment processors, invoicing providers, banks, or money-transfer services. These providers collect information needed to authorize and complete the transaction. TKRL generally receives limited information such as your name, contact information, amount, currency, status, receipt, and transaction identifier rather than full card or bank credentials.

Payment providers process information under their own privacy policies and terms. Do not send payment-card numbers or banking passwords by email or general website form.

10. Cookies, Analytics, and Similar Technologies

The website platform and connected services may use cookies, pixels, local storage, logs, and similar technologies. These may include:

  • necessary technologies required for security, navigation, forms, preferences, and core website functions;

  • functional technologies that support features or remember choices;

  • analytics and performance technologies that help us understand traffic and site use; and

  • third-party technologies associated with embedded videos, podcast players, social-media content, scheduling, forms, or other connected services.

Where required, nonessential technologies will be controlled through a consent banner or similar choice mechanism. You may also manage cookies through your browser, but disabling necessary or functional technologies may affect website operation.

The specific technologies used may change as the website and service providers change. We will update this Policy and available cookie controls when material changes occur.

11. Embedded Content and External Platforms

The website may embed or link to content from video, podcast, social-media, scheduling, payment, or other platforms. When you interact with embedded content, the platform may collect device, usage, account, cookie, or other information under its own privacy policy, even if you do not leave the TKRL website.

We encourage you to review the privacy settings and policies of any external service you use.

12. Marketing and Free Library Communications

When you request a Free Library resource or subscribe to communications, we may use your email address to deliver the requested material and, where clearly disclosed and permitted, send related TKRL communications. We will provide an unsubscribe method in marketing emails as required by law.

Unsubscribing from marketing does not prevent service, transaction, legal, security, or other nonmarketing communications that are reasonably necessary for an existing request or client relationship.

13. Astrology Birth Data

Birth date, birth time, birthplace, and related chart information may be collected when needed for astrology-informed services. We use this information to calculate or interpret charts, prepare for sessions, create reports, document limitations in uncertain birth data, and deliver the agreed service.

Birth data is not used for advertising. It may be entered into an astrology chart-calculation provider or stored with client records using service providers reasonably necessary to perform the work. Additional consent or notice may be presented during application, intake, or onboarding.

14. Session Notes and Recordings

TKRL may maintain limited session notes and related records for continuity, preparation, reporting, quality, administration, and legal or business records.

Sessions are not recorded unless you are informed in advance and separately consent. When a recording is agreed, the purpose, access, use, delivery, and retention expectations should be stated in the relevant consent or client communication.

15. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including the duration of an inquiry or client relationship, delivery of requested resources, operational needs, consent records, security, dispute resolution, and applicable tax, accounting, contractual, insurance, and legal obligations.

Retention periods vary by information type. For example, general inquiries and unsuccessful or withdrawn applications may be retained for a limited operational period and then deleted or anonymized unless there is a legitimate reason to retain them. Client agreements, transaction records, consents, reports, and other records may be retained longer where needed for legal, tax, insurance, professional, or dispute-related purposes.

When information is no longer reasonably needed, we may delete, destroy, de-identify, or anonymize it, subject to backup cycles and legal restrictions.

16. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. Measures may include access controls, account security, multi-factor authentication where available, restricted sharing, secure service providers, backups, and procedures for handling records.

No website, email, cloud system, transmission, or storage method is completely secure. We cannot guarantee absolute security. You are responsible for using secure devices, protecting your passwords, and avoiding transmission of unnecessary sensitive information through ordinary email or public forms.

17. International Processing and Transfers

TKRL is based in the United States and supports people worldwide. Your information may be processed or stored in the United States or in other countries where TKRL or its service providers operate. Those countries may have privacy laws different from the laws where you live.

Where applicable law requires safeguards for an international transfer, TKRL and its service providers may rely on an adequacy decision, the European Commission’s Standard Contractual Clauses, the United Kingdom’s International Data Transfer Agreement or applicable UK Addendum, approved contractual clauses or certifications, consent where legally permitted, or another lawful transfer mechanism. You may contact TKRL to request information about safeguards applicable to your information, subject to confidentiality and legal limitations.

18. Your Privacy Rights and Choices

Depending on where you live and subject to applicable exceptions, you may have rights to:

  1. ask whether we process your personal information and request access to it;

  2. request correction of inaccurate information;

  3. request deletion of certain information;

  4. request restriction of or object to certain processing;

  5. receive certain information in a portable format;

  6. withdraw consent for future processing where consent is the legal basis;

  7. opt out of marketing communications;

  8. manage nonessential cookies through available consent controls; and

  9. appeal or complain to an applicable regulator or data-protection authority.

If the GDPR or UK GDPR applies, you may also have the right to object at any time to direct-marketing processing and, in certain circumstances, to processing based on legitimate interests. Where processing is based on consent, withdrawal does not affect the lawfulness of processing completed before withdrawal. You may lodge a complaint with the supervisory authority responsible for your habitual residence, workplace, or the location of an alleged infringement.

We may deny or limit a request where permitted or required by law, including to protect another person's rights, preserve legal claims, maintain required records, or complete a transaction or contract.

We will not discriminate against you for exercising a privacy right protected by applicable law.

19. Children

The website, applications, resources, and services are intended for adults aged 18 and older. We do not knowingly collect personal information from children through these offerings. If you believe a minor has provided information, contact us so we can review and, where appropriate, delete it.

20. Third-Party Links

The website may link to external sites and services. This Policy does not apply to their independent privacy practices. TKRL is not responsible for how third parties collect, use, share, secure, or retain information.

21. Changes to This Privacy Policy

We may update this Policy when our website, services, providers, legal obligations, or privacy practices change. The revised Policy will be posted with a new "Last Updated" date. Where required, we will provide additional notice or request new consent for a material change.
